Making a report

Hello! Hello! Here's hoping that you have settled into school and that you are re-energised and ready for some serious work. You simply cannot afford to waste precious time.

Let's do the following question together.

Read the following conversation carefully, and then answer the question which follows.

The following is a conversation between Pat Gibbs and a sales clerk of Harley's Dry Goods Store, which took place on Wednesday, May 8, 1990.

Scene: Harley's Ltd. On Wednesday May 8, 1990.

Store clerk: Good morning, how can I help you?

Mrs. Gibbs: I don't know if you remember me. I am Pat Gibbs.

Store clerk: Yes, you were in here yesterday. I sold you that suitcase.

Mrs. Gibbs: Yes. And that's exactly why I am here now. You see, it was only when I got home that I realised that the suitcase was torn. Here, you can see for yourself.

Store clerk: That small tear? It's hardly noticeable. If you hadn't pointed it out ...

Mrs. Gibbs: That's not really the point. This is a damaged item and I paid for a new one. I want it replaced.

Store clerk: That's not possible. Once an item that was on sale was purchased and leaves the shop, it can't be returned and exchanged for another. We have no proof that it was torn before it left the shop. Besides, I think that was the last suitcase of that kind. Let me see ... Yes, it is an Ajax suitcase and we have no more in stock.

Mrs. Gibbs: Well, I am not letting this matter stop here. This store boasts of its quality merchandise and customer satisfaction. I am going to report this to your manager and if I don't get satisfaction there, I'll write to the press.

Mrs. Gibbs did take the matter to the manager who asked the sales clerk for a written report on the incident.

Imagine that you are the sales clerk. Write a clear report of not more than 110 words on what happened.
(20 marks)

(Marks will be given for the content and organisation of the report and for grammar and mechanics.)

Here is the relevant material that you will need to answer the question:

  • The date of the sale and the item bought
  • Mrs. Gibbs returned to the store to complain
  • She requested a replacement as she had discovered that the suitcase was torn
  • You indicated to her that the tear was hardly noticeable
  • You informed her that the item was on sale, etc.
  • You also told her that you had no proof that the suitcase was damaged before she left the store with it
  • The suitcase was the last one in stock
  • Mrs. Gibbs said she would report the matter to the manager
  • Mrs. Gibbs said that if she was not satisfied, she would send a letter to the press

Having gathered this information, you now need to present it in a logical manner, paying attention to the word limit and, of course, tense, agreement of subject and verb, punctuation and spelling. Try to answer the question, now. If you find that you are not within the word limit, then you will need to review your answer.
